good afternoon or good morning when LDS DMV near those you gracias por participar en Nuestra reunion a pod Raceway thank you for participating in today's parent town hall meeting I super excited to share three big updates with all of you today when we go through them I want to First Open by explaining the process for today's meeting since this is our first birthday meeting up Romero voice record a process so then what's reunion porque estamos buscando computadoras and Wednesday the name of the reunion in Persona Vamos a hablar sobre El Mas importante de recibir la informacion de Cara cameroceras vanity near Tiempo para preguntar Al final de cada parte Todd la caja de chat or caja de platicas Nosotros Vamos a ver sus preguntas sin respuesta okay so we're going to that everybody uses the chat box the chat feature resume to write down whatever questions you might have some of those questions might be answered already so that's why we're asking for folks to wait until the end of each the three parts of today's meeting so that in case they're answered that's good and if they're not then at the end of each section feel free to use the chat box who I'm asking me questions you might have about the topic let's go can get started all right so let's look at the three parts today the three parts that we're going to be talking about and you have this information in Spanish or yes it was moved to the next slide for parents portal Lane Montross estoy hablando in English division cuanto Vale en espanol tambien pero tenemos informacion en espanol ustedes pueden they are being processed Orlando call me so the overview is that we're going to first talk about the successes we've had so far and we're going to talk our budget and some changes that we've had to make for the upcoming school year and the impact of what those changes are so far our second topic and we'll have a question-and-answer time after that our second topic is going to be sharing how you as parents can share your input for us to begin thinking about 8 plan to reopen the school this is really about strategy not timeline we still don't have a time for it yet but we just want to begin strategizing and planning so that when the time comes for more prepare the last topic will be pacifically for our seniors and seen your parents and we'll be going over our graduation ceremony details with you go through today let's start with our successes so some of our successes I'm extremely proud of that given the difficult circumstances of going into a school closure in the middle of March that we were quickly able to provide our families access to meals on a daily basis Monday through Friday in addition we were very smooth and getting technology out to all of our dollars to ensure all of them had access to disk learning in time for it to begin and then since we started distance learning I'm really really proud that the attendance rate has been really exceptional our daily attendance is anywhere from 99% and sometimes 100% for certain grade levels we are also maintaining the highest completion rate for assignments across the entire Alliance organization and then finally that the real big site nearest Sheriff everybody that are College acceptance rates for the 2020 year currently at 86% very proud of our seniors going for next side and so we're now going to talk about the budget and the budget has been a unique situation for this school year as a result of the and Annex in covid-19 So based on what we know today and their changes what you're absolutely coming in weekly we are almost starting from scratch this is very different than a typical school year and how we approach our budget environment and unfortunately due to some some decline stay funny we're having to plan very differently than we ever had before and we are also at a bit of a rush because our board meeting is coming up pretty soon here for us to approve the budget which is June 10th one thing I want to highlight with that is as we look to changes that we make the goal is always to pray airties non-personnel savings first so that we can do our best to minimize any impact on staff so going into our next slide this is just some some news lights for everybody to really really show that the the budget is really hitting as hard I know Tisha already know what started the California a Los Estados unidos instead of stopping noticias diffusion I muchas escuelas diferentes Colegio University Dallas tambien expediency. at Collins it's really much larger than that one thing I want us to stay grounded and when we think about the changes that we make is that how we spend money says a lot about us as an organization and so we wanted to just have folks take a moment to read this quote to understand the thinking process behind us that budget to us is not just a collection of numbers but it's an Express have our values and aspirations additionally as stewards of public funds it's important for all of our families to know out there that are our school the publicly-funded and intended to be fully sustainable on public dollars as stewards of public dollars the home office at Alliance schools have a duty to ensure that we are financially sustainable in the long-term this is one of those scenarios that is not just for the school year we project about a three to five-year decline in state funding that we're going to have to take in consideration share that we filled out our budget going on to the next slide to slide yes this is just to provide folks and understanding of how it works so and it goes to red into the schools we have our Public Funding and we are expected to see a decline anywhere from six to 13% cross Alliance due to two factors one being a reduced per-pupil Revenue which is the money that comes in her student that is enrolled to the school from the state in this is in response to the recession that's currently going on another one is a declining enrollment that one is not as significant at Collins as it is some schools at Alliance fortunately but it is something we've noticed over the last few years a slight decline in enrollment let's go to the next line again I want to just highlighted make very very clear that we make decisions to ensure Alliance long-term Finance stability that our philosophies are really around non personal items first and Personnel last we really see our people at Alliance as our biggest assets to our success for our Scholars this is the big picture to really make the distinction between a typical school year and miss school year so when you look left this is the general flow for how budgets are planned each school year but now what's different to the right is that we have already received information through the months of March and the things are going to look very differently and that's when we had to start from scratch to restart the budget process all over there is a potential for that to occur in August as well which is very very unfortunate time of the year to have to consider any changes around her school budget because we will have already started the school year so we we have that should consider in the future ahead all right now I want to share with you give me one second there's some background noise that I don't know it's distracting our meeting I'll be back in just five seconds and on a man who knows okay gracias this is to show you some of the items being recommended for a or reduced to show you the kind of savings we had to make and they're big their big Valium the first one fulfillment fun was something we introduced this school year the first time we were in a really good place at the start of the school year and it's a little different now this is to provide additional support to 9th and 10th grade Scholars college success in counseling services second items are field trips trainings and conferences for staff food for staff during our weekly professional development meeting and sports the third item is having to do when I'm calling a modified summer school and I'll get to that shortly stipends are four additional assignments for teachers and other staff members the miscellaneous efficiencies refer to a number of random items can be tutoring hours after school there are substitute days that have been rude under that category and lastly I group them all together we had a vacant position for an in-house substitute which we are no longer looking to fill so that was the savings we are going from 2 to 1 security guard and a reduction in part-time instructional coach this is getting to take a moment and and and please read the ration the budget items that have been suspended or reduced this will answer some of the questions that you might be having it in particular around Sports conferences meme but we know these are difficult decisions to make and these have a considerable impact on our school Community we also recognize that these were appropriate decisions given the social distancing requirements by the state we are in a situation where even if we wanted to run with a sports program or field trips or send staff to conferences and training all of those have one thing in common and what they have in common is they all are part of large Gatherings which as you know are being prohibited for quite some time until jeans safe again by L Fishel maybe now that this is even in acted are professional sports teams and I know they're thinking through ways in which that can go on but many of you may have also heard that are California state universities recently disclosed that the fall it's unimaginable that they would run a sports program even at the college level I'm so I know this is really difficult for a number of folks to exceptions hard on Collins as well sports are very important to us we love them the reality is even if we were trying to make it happen in the fall we would probably not have any teams play this isn't just a call instead this is something that's occurring across schools in the state and in other schools in evening the nation I want it clarify what is meant by a modified summer school program and how we had to budget differently in what that means and what it looks like so as some of you may know especially are returning parents we have to type summer programs we have one for incoming 9th graders and we have one for those who are students who have been with us but have some credit to recover because they failed one or more classes let's talk about Summer Bridge first Summer Bridge for the incoming 9th graders was originally scheduled to take place starting late June that is now changed and has been reduced to a 4-day program starting August 4th to the Sea which is the week before the school year begins for the 2020-21 school year that's a big change for incoming 9th grade students it'll also be done virtually the same way school is going on right now we'll share more details of what it looks like and what that means in the month of June Credit Recovery which is also traditionally held on campus and start little earlier than the date UC noted here has now been pushed to July 6th to the 29th in addition it is also going to be in partnership with an outside organization which is going to generously fund teacher syllabus the funding and pay for teachers to guide our Scholars to the coursework is not going to come out a Collins budget which is a good thing because that was an area that we could reduce savings as well or increase savings this is improv and in the process right now so we have begun the recruitment of teachers begun the sharing of information of which Scholars we anticipate to be summer school however we still have a couple more things to sort out before finalizing it tutoring I want to make sure folks but not alarmed about tutoring it has occurred this school year during our after school blog 3 to 3:45 which is within the teachers working term so we actually have outside of the regular school day is it is in which case this became an area of savings well the online version of this which is currently taking place is known as office hours to our current distance running program Nick's light what does this mean for our Scholars will continue to maintain High academic expectations for all Scholars align our resources to master schedule to ensure they meet the expectations that are College reading and align our resources to provide college and social emotional support for all Scholars and lastly we have aligned our resources to maintain maintain a strong family school partnership this is the moment we're going to pause this is the end of our budget presentation I would like for parents to now use the chat feature to ask questions if they might have that may not have been ants during that meeting presentations are and give it maybe one minute to 2K what is being done to help fundraise to put money back into summer school bring it's a really good question at this moment we don't have any virtual fundraising occurring at the school for this school year but that is certainly a great suggestion press to consider into the fall so thank you for noting that we won't need to fundraise so to clarify we won't need to fundraise for summer school this year it will still be able to run a version of it but fruit-filled for field trips next year that is also a question that came up from teachers that are interested in trying to find the specifics great question about how will we Howell honor social distance when school resumes it's a really great question we are actually in the midst of developing a plan so it's not developed that'll be in my upcoming town hall meeting when we have more information so in part two of this you'll have opportunity to share some information that's actually going to help us develop those kinds of plans so stay tuned there's also one more mr. Fino asking about do we have an approximate date when the students are coming back sorry I missed that one this Unfortunate Events and no tenemos una fecha quandarius put on regular saddle Escuela physical Mente Buena pregunta all right let's go into the next 2 slides are pretty continue our cattle put in Las Vegas are this next one is is kind of similar to what some of the questions have the Genesis coming up around these links are located on our school website and I believe they were emailed to you as well so please take a moment to fill out the survey stress and complete them the info nation is going to be used for us to have considerations about what reopening to the school might look like this is really just for us to begin strategizing and coming up with a i wish I had the date as much as anyone else does unfortunately I don't but the good news is when we do have that date and that information we can ask faster on the plan because we will have a plan in place the best part 2 part 3 this is about our ceremony undergrad to Wauseon for the wild class of 2020 at Virtua graduation we still have moved a live one for August but we are not confident that we're going to be able to do it based on what's currently known so right now we want to play it safe and have a virtual ceremony which we are planning right now at the moment and it is set to be on Thursday June 11th at 2 p now what are the good things about it for those of you who are returning parents and have had a graduate previous to this year more people can attend virtually than they could in person there's up to 10 yes but the guess that that's just pertaining to a laptop so if you if that guest has a family of their own that's more people that can watch the ceremony then ever before I'm trying to find a positive in this unfortunate matter we are planning to include as many of the traditional features to the ceremony as we have done previously. Includes having a program our advisory teachers announcing the scholars names keynote speaker speeches from both our valedictorian and salutatorian Scholars a senior video and also some recognition of staff that are seniors engaging caps and gowns are being distributed to seniors from 9 a.m. to 11 a.m. on May 26th to 28th and again on June 2nd the scholars get to keep their cap and gown store cleaner have to return them this is why do something nice for our seniors virtual rehearsal is a must this is our very first time doing this we were to go as smoothly as possible we don't expect it to be perfect but we are trying to make it special and the more practice we can have the better off we'll be for the official day the really important that our seniors logging in for rehearsal on June 3rd 5th and 10th lastly we are gifting our seniors with this year's your books these are being tell Tom starting next week on May 26th that's another thing we're trying to do to make sure they know that we miss him dearly this is not the kind of year that we wanted to end with them but we are doing our best to show the Sharon love them in ways that are safe and in the virtual world this is the time for folks to ask questions we've included the meeting I do want you to know that we are doing this exact same meeting tomorrow at 11 a.m. with all of our Scholars that have the time to log in I can share the slide deck yeah we can we can we can have it on our website good question mr. Negrete so the floor is open for any parents that have any questions about the three parts that's a good question Betsy is this something they would just go through you to do how would we go about increase for the when they receive their cap and gowns are going to receive the proof that the company sent to us so the whole package is going to be in there with the carpet down so we're trying to put as much information when we give them the cap and gown to wear when you have okay great yes it won't we'll see what you what you have in terms of that information when you get receive the cap and gown and if there's additional information you looking for please contact the main office for that answer the next question for those students that didn't get measure for cap and gown we kind of went based off of their height and that's how we are providing them with cap and gowns the practice means we'll be through Xoom miss you already paid for your yearbook we are even if you paid it in the office but if you pay the company directly you will have to contact them and they will refund you for that payment it's either also asking about their Panorama picture for the senior picture that yeah the panoramic we took just before school closure in the gym and they're also going to be able to reach out to their company if they paid the company should be able to refund the company should be mailing out that picture to them let's make sure we share all that information in an email to parents play Friday tomorrow night would appreciate that asking a question regarding sashes that see so unfortunately the company was not able to do Sasha's but we are doing the courts which is similar to the sashes they're also asking about graduation and senior pictures the Diplomat are going to be headed out to the students on the week starting June 15th and we're going to do the same process they're talking about a Grad Nite refund something when they start picking cap and gowns we're going to have that available for them to pick up how are they going to know if their student is in honor roll we have a list of counselors have provided for us and when they go to school to pick up their cap and gown I think that's it for the question so far Lifetouch the one who takes a panoramic picture as well talking about paying for a cheer uniform they could email me so that way I could set up a time for them to come to the school site that way they could just finish up the appointment and they're asking if they will ever receive a honor roll sash the sash with the Rope the photographer never spent most of the pictures can we buy them senior pictures Independence asking is summer school is only for students that are not passing classes or for everyone good question that is only for students who are not passing classes if they are occurring 9th 10th or 11th or 12th grade student at the school Summer Bridge is different it's incoming 9th graders in August Senora Lopez or Celeste empezando Plaza sorry I didn't see that was in Spanish thank you Aunt Donna talking about 8th grade mr. I bet you don't want to know who's a point contact person for graduation question make a contact on my cell phone Jasmine email is fine are you reading that question but yeah yes so next week we're going to be providing you with that information with the cap and gown so you don't need to pay for the cap and gown the cap and gown the schools giving it to the students so we're not charging for the cap and gown yes I'll be by Adele be submitted Missouri groups for our graduation ceremony thank you very much Miss Fernandez appreciated we have an amazing team at Collins and I'm extremely grateful for every team member I'm also grateful for all of you as parents die I can't imagine how difficult of a time this must be you have a child in high school and for one and especially a child is a senior Year we're all struggling with a number of things, this is one of those areas that's really difficult but we really appreciate everybody's support and understanding that we are doing the best we can to make it special for our seniors and make it special for parents in our staff I'm giving this circumstances that were faced in together resume information is going to be provided to where's in the town hall tomorrow and also will they be receiving an email as to how the ceremony is going to go down there going to get the exact same information that all of you are receiving today not going to look any different yet for them basically for graduation purposes they're going to just leave the meeting the same as you are knowing that her soul will be at a specific time and day the store to keep an eye out for the links it's during as actual rehearsals that will go over the logistics of what graduation looks like so if there's really anything I could ask for support on its ensuring that ever senior attend each of the three rehearsals they're going to build on one another and get stronger by the time I get to the 3rd so if the student misses the first two there going to be a little bit more lost than the rest of their peers for all the zoom meetings for students we have one tomorrow at 11 a.m. and that's going to be exactly what you guys are seeing today and then send all the PowerPoint out for you guys to have we'll put it on our school website underneath the Parent-Teacher and will also put underneath the student-teacher as well so that you can access that I know we went over a lot of information today so you'll have that refer back to of course yes we'll will include all parents in the same communication out the students or we'll be sure to just saying this to send the same message that we send to our seniors to our parents as well.
